My Digital Toolbox

After reading David Allen’s “Getting Things Done” I turned in to a digital ninja using a variety of tools that sync between my desktop and my phone and allow me to be more organized and productive.

Just thought I’d share the three tools that basically run my life:

imagesGOOGLE - First let me say this. If you are not using google then you are already behind. These guys will rule the world one day…Google provides me with:

  • Gmail – the BEST email in the world. Syncs on any computer any where and works on the phone.
  • Google Calendar – an amazing calendar with SMS alerts and email reminders. Can also be used as an evite solution. It also syncs with my phone so I always have my calendar and all team members’ calendars with me.
  • Google Docs – an online filing cabinet for docs, pdfs, etc. Also works on the phone.
  • Google Sites – online project management software (built through Google sites)

And best of all, Google is ALL FREE. Incredible!

images-1EVERNOTE – Evernote is what I use to hold all of my ideas and tasks. I have it set up in a very simple way. I have four notebooks called:

  • @tasks – all tasks go in this notebook
  • Incubator – all ideas go in here. sometimes its a quick audio clip, a graphic, a pdf or even just a few lines of text that I need to remember
  • Resources – This notebook holds files that I might need for any task or project I am working on
  • Projects – This notebook holds files and info for current projects

Then, I tag every evernote entry like crazy. I have a small list of contexts I use including: @work, @call, @design, @video, @work, @out, @home, @email, @web, and @na (next action). I also tag projects like this: p:projectname.

By using tags for my contexts, I can view only tasks in any particular context at any given time. It works on my phone too! From my phone, I can save audio, pictures, and text. And again, its ALL FREE!

The thing that makes evernote shine is the tagging features and the fact that it does superb handwriting and text recognition. When someone hands me a business card, I just snap a photo of it with my iphone and save it in evernote. Then, in the future if I type the business name or person’s name, evernote will find it through the text recognition. Incredible!

Dropbox-Review-2DROPBOX – Dropbox allows me to always have access to any kind of file on my iPhone or on any desktop anywhere in the world. And, its secure. I use it primarily for PDF’s I need to read, personal finance spreadsheets, and church budgeting. Having access to this important information at all times is AWESOME. Dropbox rises above other solutions in my opinion because it syncs local files and online files at the same time. Awesome!

Google Turns Out the Lights

Google is turning out their lights today for Earth Hour. Are you?  I love how much Google cares about our world…if only all companies did their part…

What if all churches did their part too?  I believe that as followers of Christ, we are supposed to take care of the planet God has given us.  This is a simple act that anyone can do to take part and be aware of a big concern…

Clutter. Simplicity.

Clutter is around every corner in our lives.  We just have this propensity to allow things to stack up.  Look at some of the major search engines we use today…they are perfect examples:

Yahoo…CLUTTER

YAHOO equals CLUTTER

MSN…CLUTTER 

MSN equals CLUTTER

Google…CLU….WAIT, SIMPLICITY!

Google…NO CLUTTER

Our lives look like these search engines.  Sometimes clutter feels like a battle that will never end. At times it makes me want to scream “MOTHER CLUTTER!!!!”

I always admired my close friend Josh Rosenthal because he only owned things he really needed.  He only filled his schedule with stuff that mattered. His life looks like Google.  I admire that.

Then, I have other friends whose lives look more like Yahoo or MSN.   I have met people whose homes you can’t even walk through because they just have so much clutter.

I’m not just talking about too much stuff sitting in our homes…our schedules, offices, and relationships also get cluttered.

Clutter can be an indication of bigger problems in life.

What do you do in your life to clear the clutter?  What are some of your best practices?

I have a few clutter rules that I try to apply to my life:

  • if I haven’t used it in a year, it goes in the trash or is given away
  • utilize to do lists, technology and other resources that help you keep your schedule organized
  • work hard when I’m at work. that way the clutter doesn’t pile up at the office
  • spend at least 15 minutes every day clearing some clutter at home

New Series Starting on Easter: GOOGLE

We are starting a new series on Easter Sunday called “GOOGLE: Life’s Most Searched Topics.” I am pumped about it! The topics are the most searched things on Google:

  • Who is God?
  • Sex
  • Politics
  • Fame

We have never done a sermon that had anything to do with politics…that’ll be fun. I finished designing and ordering the card for the series yesterday…check it out below. This card will be mailed to 13,000 homes in our area. It also promos The Big Hunt, which is going to ROCK by the way (look at the card and see if you can find the awesome new thing we’ll be doing at The Big Hunt.)
